On 25 May 2018 the law changed with regard to how organisations have to protect your ‘data’ (personal details and records) and this is called the General Data Protection Regulation or GDPR. By engaging with therapy you are consenting to records being kept
- Keeping records is an essential component of healthcare, which helps in understanding how best to help and forms the basis of any reports needed
- Psychotherapeutic Solutions and the practitioners themselves are registered with the Information Commissioner’s Office. You have the right to request copies of all your personal data. If you want to exercise this right, please ask your therapist for a Right of Access form. Please send it to Psychotherapeutic Solution Data Officer at the company office registered address via mail. There may be an admin charge and these will be provided within 1 calendar month of the request being made.
- Your clinician and Psychotherapeutic Solutions have access to your information.
- The details you provide in the Therapy Agreement will be used to contact you.
- Confidentiality is maintained at all times. Unless, in exceptional circumstances such as risk to yourself or others we might contact your clinician, or GP and possibly your emergency contact that you have given us. Under certain circumstances such as there has been a disclosure of harm or abuse to children/vulnerable adults or to commit a terrorist act we will contact your GP, police and/or social service as appropriate as this is a professional obligation as the disclosure is required by law.
- Personal data will be kept confidential and will only be disclosed to those involved in your treatment. This may include
- your clinical referral
- your GP (with your consent)
- Psychotherapeutic Solutions administrative support
- clinician administrative support.
- We may also contact those responsible for meeting the costs of your treatment (e.g. your insurer or employer) to the extent necessary to collect payment (with your consent).
- Psychotherapeutic Solutions and the practitioners will never use your information for marketing purposes or to sell to third parties.
- Consultation notes and questionnaires will be held for varying lengths (generally 6 or 7 years) of time as per instruction of the clinician’s professional insurance.
- All information recorded on paper will be securely stored in a locked/fireproof filing cabinet.
- Confidential digital information will be stored in a secure cloud service offering high levels of security. All information stored in computers will be saved in password protected files.
- Confidential information sent by the practitioner via the internet will be encrypted via Egress, Egress is secure platform which allows sharing confidential information by email and filing transfer from all parties.
- Letters sent to professionals such as GP’s, consultants or insurances, by surface mail, will be clearly marked Confidential
- All electronic devices (e.g. computer, laptop and phones) used to access stored information will be password protected
- Supervision is part of the clinician’s professional duty of care. All supervisors are bound to the confidentiality agreement and professional standard.
- In the event of death or incapacity of your therapist you will be contacted by a member of our clinical team who is responsible to safeguard your confidentiality rights.
